General Terms of Use
www.royalairtrip.com is the official website of Royal Air Trip LLC (‘Royal Air Trip,’ ‘we,’ ‘our,’ or ‘us’). By accessing or using this website, you agree to be bound by the following Terms and Conditions. If you do not accept these terms in full, you should discontinue use of this site and our services immediately.
Royal Air Trip LLC reserves the right to amend these Terms and Conditions at any time without prior notice. All amendments automatically take effect upon publication on this page. Your continued use of the site following any changes constitutes your acceptance of the revised terms.
Booking & Reservations
Booking Confirmation
A reservation is not complete or confirmed until the ticket has been issued and full payment has been processed. Submitting a booking request or providing payment information does not guarantee ticketing until explicitly confirmed by Royal Air Trip LLC in writing.
Accuracy of Information
You warrant that all information provided during the booking process — including passenger names, contact details, passport information, and payment details — is accurate, complete, and current. Passenger names must match exactly as they appear on the relevant passport. Royal Air Trip LLC is not responsible for any loss, denied boarding, or additional costs arising from inaccurate information provided by the customer.
Age Requirement
By using this site and making a booking, you confirm that you are at least 18 years of age and have the legal authority to enter into this agreement and to make purchases on behalf of yourself and any party included in your booking.
Itinerary Review
Upon receiving your booking confirmation, you are required to review all details — including passenger names, dates, flight numbers, airlines, and routing — within 4 hours of booking completion. Any discrepancies must be reported to Royal Air Trip LLC immediately. Royal Air Trip LLC is not responsible for errors not reported within this period.
Fraudulent or Speculative Bookings
Fraudulent, exploratory, or speculative bookings — including reservations made in anticipation of demand without genuine travel intent — are strictly prohibited. Royal Air Trip LLC reserves the right to cancel any such reservation and deny future access to booking facilities.
Payments & Pricing
Payment Methods
Royal Air Trip LLC accepts most major credit cards issued in the USA, debit cards bearing the Mastercard or Visa logo, PayPal (verified accounts only), and bank transfers. Credit card acceptance may vary depending on airline, fare type, destination, and country of residence.
When Your Card is Charged
Your credit or debit card will not be charged until your ticket has been issued and confirmed. Submitting payment information constitutes authorisation for Royal Air Trip LLC to process payment upon ticket issuance.
Card Validation
Royal Air Trip LLC verifies billing address and card verification details with the issuing bank as part of the ticketing process. Until this verification is complete, the fare is subject to change. We are not responsible for declined transactions or fare changes occurring during this verification process.
Credit Card Holder Matching
The credit card used for payment must belong to one of the passengers named in the booking, or the card holder must provide written authorisation and identity verification. If purchasing a ticket on behalf of another person, additional documentation may be required.
Billing Statement Appearance
Charges may appear on your statement in the name of Royal Air Trip LLC, the airline, or one of their affiliated ticketing or fulfilment providers. Service fees, airfare, and travel insurance (if selected) may appear as separate line items.
Debit Card Usage
Debit cards with Mastercard or Visa logos are accepted. Please ensure your daily transaction limit is sufficient to cover the total booking amount and that your card permits online international transactions before submitting payment.
Pricing and Discounts
Fares and package prices are subject to availability and may vary depending on the airline, class of service, destination, travel season, advance booking period, minimum stay requirements, and seat availability. All prices quoted are inclusive of applicable airport taxes and fuel surcharges unless explicitly stated otherwise.
Fare Not Guaranteed Until Ticketed
Quoted fares are not guaranteed until the ticket has been issued. Royal Air Trip LLC reserves the right to notify you of any fare changes prior to ticketing. If a fare change occurs, you will be given the option to proceed at the new price or cancel without penalty.
Refunds
Non-Refundable Tickets
All tickets and service fees are non-refundable unless otherwise explicitly stated at the time of booking. Royal Air Trip LLC’s ability to obtain any refund from an airline is entirely subject to the fare rules of the ticket purchased.
Refund Requests
Where a refund is applicable under the fare rules, all refund requests must be submitted in writing to Royal Air Trip LLC. Refund requests are processed on a request basis only and are subject to the airline’s approval and processing timeline.
Refund Processing Timeline
Please allow up to 72 hours after submitting a refund request before following up to confirm the request has been received and submitted to the airline. Once a refund has been approved and processed by the airline, please allow a further 30 days for the credit to appear on your original payment method.
Refund Processing Fees
Where a refund is approved, the following Royal Air Trip LLC processing fees apply:
Domestic Travel:
Non-refundable. Future travel credit may be available subject to airline policy and applicable penalties.
International Travel (ticket is refundable, departure more than 10 days away): USD $300 processing fee
International Travel (departure within 10 days): USD $350 processing fee
Business Class (refundable fares): USD $550 processing fee
Note: The above fees are in addition to any airline-imposed cancellation or refund penalties. The total refund received will be the applicable fare minus all airline penalties and Royal Air Trip LLC processing fees.
Cancellations & Changes
Cancellation Policy
All airline tickets are non-refundable as a general rule. In certain cases where the airline fare rules permit cancellation, a future travel credit may be available with the relevant airline, subject to applicable penalties and fare differences. All cancellations must be requested before the scheduled departure time of the first flight segment by contacting Royal Air Trip LLC directly. Royal Air Trip LLC does not guarantee that cancellations will be accepted in all cases.
Future Travel Credits
Where a cancellation results in a travel credit rather than a cash refund, the credit is typically valid only on the same airline and is subject to an expiration date. Credit terms, validity period, and applicable penalties will be communicated by your Royal Air Trip agent. Royal Air Trip LLC is not responsible for expired or unused credits.
Ticket Changes & Exchanges
Ticket changes or exchanges, where permitted by the airline, will require payment of: (a) any fare difference between the original and new ticket; (b) applicable airline change penalties; and (c) Royal Air Trip LLC’s exchange service fee. These fees are applicable for every change made to the itinerary, regardless of whether a new ticket is issued. All changes are subject to the airline’s own rules and availability.
How to Request Changes or Cancellations
All cancellation and change requests must be submitted in writing (by email or through our contact form) or by calling Royal Air Trip LLC directly. We cannot guarantee changes or cancellations requested verbally without written follow-up.
Fare Changes
Post-Booking Fare Changes
In rare circumstances, a fare may change even after a reservation has been confirmed. Royal Air Trip LLC will notify you of any such change as soon as it becomes known. Upon notification, you may choose to: (a) proceed with the booking at the revised fare; or (b) cancel the booking. Royal Air Trip LLC assumes no financial or other responsibility for fare changes caused by airline pricing systems or policies.
Flights — Seats, Meals & Special Requests
Seat Requests
Seat preferences submitted at the time of booking are requests only and are not guaranteed. Airlines reserve the right to modify seat allocations at any time without notification. Royal Air Trip LLC does not guarantee that any requested seat will be assigned. We recommend confirming seat assignments directly with your airline after booking.
Meal & Special Service Requests
Meal preferences, frequent flyer number additions, special assistance requests (wheelchair, dietary, unaccompanied minor), and other special requests are forwarded to the airline on your behalf but cannot be guaranteed by Royal Air Trip LLC. We strongly recommend contacting your airline directly to confirm all such requests prior to departure.
Frequent Flyer Miles
Many discounted and consolidator fares do not qualify for frequent flyer mileage accrual. Eligibility for mileage accrual depends on the specific fare class and airline programme rules. Royal Air Trip LLC makes no guarantee regarding mileage accrual on any booking.
Baggage Policy
Baggage Allowance
Baggage allowances vary significantly by airline, fare class, and route. Most major airlines now charge fees for checked baggage, including the first checked bag. Baggage fees are collected directly by the airline and are not included in the fare quoted by Royal Air Trip LLC unless explicitly stated.
Connecting Flights
When connecting itineraries involve two or more different airlines, passengers may be required to collect their checked baggage at the connecting airport and re-check it for the onward flight. Excess baggage fees may apply on each individual airline segment. Royal Air Trip LLC recommends travelling with minimal checked baggage where possible to reduce costs.
Estimated Baggage Fee Range
Checked baggage fees typically range from USD $15 to $50 or more per bag, per flight segment, depending on the airline, bag size, and weight. These fees are subject to change at any time by the airline. Royal Air Trip LLC recommends contacting each airline directly for the most current baggage fee information before travel.
Airline Schedule Changes & Flight Cancellations
Re-Confirmation of Flights
Royal Air Trip LLC strongly recommends that all passengers re-confirm their flight schedule directly with the operating airline at least 72 hours before international departure and at least 24 hours before domestic departure. Airlines frequently make schedule changes with little or no advance notice.
Schedule Change Notification
If an airline makes a schedule change that requires the re-issuance of your ticket, Royal Air Trip LLC will notify you by email as promptly as possible. If Royal Air Trip LLC is unable to reach you, the email notification will serve as the final notice. Tickets affected by airline-initiated schedule changes typically remain non-refundable under the original fare rules.
Royal Air Trip LLC Liability for Schedule Changes
Royal Air Trip LLC assumes no liability for flight cancellations, missed connections, or schedule changes made by airlines. Royal Air Trip LLC will make every reasonable effort to assist passengers in finding suitable alternative arrangements, but cannot guarantee specific outcomes.
Visa, Passport & Travel Documents
Passport Validity
Most countries require your passport to be valid for at least 6 months beyond your intended return date. Some destinations may have different requirements. Royal Air Trip LLC will advise on known requirements at the time of booking, but it remains the traveler’s responsibility to verify and comply with current requirements.
Passport Details — Advanced Passenger Information (APIS)
Many airlines and governments require full passport details — known as Advanced Passenger Information (APIS) — prior to travel. Passenger names must be entered exactly as they appear in the passport. If your passport details change after booking, you must notify Royal Air Trip LLC immediately with updated information.
Visa Responsibility
Royal Air Trip LLC does not process or guarantee visas. It is your sole responsibility to obtain all required entry and transit visas. Royal Air Trip LLC is not responsible for any costs, losses, or denied boarding resulting from a traveler’s failure to hold valid visa documentation. For reliable, up-to-date visa requirements, visit www.travel.state.gov and the official embassy or consulate of each country on your itinerary.
Denied Entry
If a traveler is denied entry into any country, Royal Air Trip LLC bears no responsibility for the cost of transportation back to the country of origin or for any fines imposed by the relevant government or carrier. Fares paid for travel to the point of refused entry will not be refunded.
Customs Inspection
Travelers are required to comply with all customs and government inspection requirements. Royal Air Trip LLC is not liable for any loss or delay arising from customs inspections or a traveler’s failure to comply with inspection requirements.
Departure Taxes
Some international destinations — including Mexico, the United Kingdom, and Australia — assess a passenger departure tax payable at the airport upon departure. These taxes are the responsibility of the traveler and are not collected by Royal Air Trip LLC at the time of purchase.
General Restrictions
Minors & Unaccompanied Travel
Tickets may be purchased for passengers under the age of 18; however, most airlines impose additional fees and restrictions for unaccompanied minors. It is the responsibility of the booking party to contact the airline and confirm that the minor’s intended itinerary is permitted under the airline’s unaccompanied minor policy.
Upgrades & Standby
Upgrades and standby travel are generally not permitted on discounted or consolidator fares. Seat upgrades may be possible through the airline directly, subject to fare rules and availability.
High-Security Risk Areas
Royal Air Trip LLC reserves the right to refuse or cancel bookings to destinations designated as high-security risk areas at its sole discretion, in accordance with guidance from relevant authorities.
Warsaw Convention
Where your itinerary includes travel to, from, or through a country other than the country of departure, the provisions of the Warsaw Convention (or the Montreal Convention, as applicable) may apply to your journey, including any domestic portion. These conventions govern and may limit carrier liability for passenger injury and baggage loss or damage.
Ticket Processing Errors
Processing Failures
Royal Air Trip LLC is not responsible for bookings that could not be processed due to inaccurate credit card information, failed card verification, or technical system malfunctions. If Royal Air Trip LLC is unable to contact you to resolve a processing issue, we reserve the right to cancel the booking and will notify you by email, which will serve as the final notice.
Fare Changes During Processing
Royal Air Trip LLC is not responsible for any fare increases that occur if you choose to re-book following a cancelled or failed transaction.
Agent Errors
Error Rectification
If a Royal Air Trip LLC agent makes a booking error, we will make every reasonable effort to correct the error at no cost to you at the time it is identified. To be eligible for error correction, you must notify Royal Air Trip LLC of any booking discrepancy within 24 hours of receiving your booking confirmation.
Maximum Liability for Agent Error
Royal Air Trip LLC’s maximum liability in cases of agent error is limited to a full refund of the service fees collected for that specific booking, plus a USD $10 goodwill credit toward a future booking. Royal Air Trip LLC is not liable for any consequential losses arising from agent errors reported beyond the 24-hour notification window.
Itinerary Re-Confirmation
Review Requirement
Upon receiving your booking confirmation, it is your responsibility to immediately review all details — including passenger names, dates, flight numbers, routing, airlines, and airport information — for accuracy. Any discrepancy must be reported to Royal Air Trip LLC within 4 hours of receiving the booking confirmation. Royal Air Trip LLC is not responsible for errors not reported within this timeframe.
Save Your Documents
We recommend saving and printing all booking confirmation documents, e-tickets, and hotel vouchers. Royal Air Trip LLC will provide these electronically to your registered email address at the time of booking.
Chargebacks & Credit Card Disputes
Dispute Resolution First
If you have a question or concern about any charge on your credit card from Royal Air Trip LLC, please contact us directly by phone or email before initiating a dispute with your card issuer. We are committed to resolving all billing queries promptly and fairly.
Chargeback Agreement
By completing a booking with Royal Air Trip LLC, you agree not to dispute any valid charge — including service fees, airfare charges, or fare adjustments — that complies with these Terms and Conditions.
Chargeback Penalty
If a customer initiates a chargeback on a non-refundable ticket, service fee, or valid fare adjustment, the customer agrees to reimburse Royal Air Trip LLC the full chargeback amount plus a USD $250 penalty fee to cover administrative and accounting costs.
Fraudulent Chargebacks
In cases of fraudulent chargeback attempts, Royal Air Trip LLC reserves the right to pursue legal proceedings to recover all associated losses, including legal fees and costs.
